Travel Operations — Frequently Asked Questions
Booking Management
What types of services can I track in Travel Operations?
You can track virtually any travel service — hotels, transfers, guided tours, excursions, restaurants, activities, flights, private guides, yacht charters, and more. Each service is logged as a booking line item attached to the relevant itinerary, with its own status, confirmation number, and supplier details.
How do I see the status of all bookings for a trip?
Each trip has a dedicated Operations dashboard showing all booked services in one view. You can see at a glance which items are confirmed, pending supplier reply, cancelled, or require follow-up. Status can be updated manually or via supplier confirmation.
Can I attach vouchers and confirmation documents to individual bookings?
Absolutely. Each booking line supports file attachments — PDF vouchers, confirmation emails, tickets, and any other documents. These can also be made visible to the client directly inside their itinerary link
How many team members can manage operations for the same trip?
There is no fixed limit. Any team member with access to the trip can view and update operational details. Role-based permissions let you control who can edit bookings versus who can only view them.
How does the trip calendar help manage daily operations and departures?
The interactive Trip Calendar provides a centralized visual overview of your entire schedule in real time. It allows your team to monitor all upcoming departures, daily itineraries, and operational deadlines at a glance from a single dashboard.
What types of bookings can be tracked in the trip calendar?
You can track every service linked to a trip, including hotel accommodations, airport transfers, excursions, local guides, and transportation schedules, ensuring full visibility over all travel components.
Can I quickly check the status of bookings and tasks on the calendar?
Yes. The trip calendar makes it easy to spot which bookings are confirmed, which are still pending, and which require immediate follow-up, helping prevent missed deadlines or double-bookings.
Can different team members leave internal comments and updates directly within the Trip Calendar?
Yes. The Trip Calendar supports team-wide operational notes and comments, allowing agents, drivers, guides, and back-office staff to log updates directly on specific trips or service items. This ensures everyone sees real-time status changes-such as supplier confirmations or special client requests-without cluttering client-facing itineraries.
Payments & Invoicing
How does client invoicing work in TravelTree?
You can generate a professional invoice directly from any trip in seconds. The invoice pulls pricing data from the quote, applies any discounts or extras, and can be sent to the client via email or shared as a link. All invoices are stored in the client’s record.
Can I track partial payments and payment schedules?
Yes. TravelTree supports multi-installment payment tracking. You can define a deposit amount and due date, a balance due date, and log each payment as it arrives. The system shows outstanding amounts at all times.
How do I manage payments to suppliers?
Outgoing supplier payments are tracked separately from client income. For each payment you log the supplier, amount, and due date — the system then automatically marks it as overdue if the due date passes without a payment being recorded. You can also attach receipts and notes to every payment entry, giving you and your team a clear, up-to-date picture of cash flow across all active trips.
Does TravelTree support multiple currencies?
Yes. You can invoice clients in any currency and log supplier payments in a different currency. Exchange rates can be set manually per trip. Pro users can request automatic exchange rate feeds.
Can clients pay directly through the itinerary link?
Direct payment processing is not built in by default, but you can include your payment link, bank details, or a payment gateway URL inside the itinerary. Pro users can request a custom payment integration with Stripe, PayPal, or other providers.
Can I issue refunds or credit notes?
Yes. You can log refunds against any invoice, add a credit note, and adjust the payment record accordingly. The full payment history is preserved so there is always a clear audit trail.
Suppliers
How do I add and manage suppliers in TravelTree?
Each supplier — hotel, guide company, transport provider, and so on — gets a profile in your supplier directory. You store contact details, preferred rates, bank information, and notes. When creating a booking, you simply link it to the relevant supplier.
Can I store negotiated rates for recurring suppliers?
Yes. You can save rates for each supplier, including seasonal pricing, group rates, and special conditions. These are available when building quotes so your team always uses the correct pricing.
Is there a way to send booking requests to suppliers from TravelTree?
You can generate a structured booking request from the booking item and send it via email. The request includes all relevant trip details, dates, group size, and special requirements. Supplier responses and confirmations can be logged back against the booking.
What if a supplier cancels or changes a confirmed booking?
You can update the booking status and log the change details. The client-facing itinerary is only updated when you choose to publish the change, so you have full control over what clients see at all times.
How do I avoid missed cancellation deadlines and supplier fees?
The operations calendar monitors critical dates across your itineraries and displays visual alerts for upcoming cancellation deadlines. This gives you immediate visibility over pending and confirmed services without digging into individual trip details.
Client Experience
How do clients access their trip and operational details?
Clients receive a secure personal link to their itinerary. This link shows the day-by-day programme, booking references, attached vouchers, tickets, and guide notes — all formatted for mobile. No app download is required.
Can clients book optional extras themselves?
Yes. You can mark activities or services as bookable extras in the itinerary. Clients see these options and can select them directly from their link. You receive an instant notification and can confirm or follow up accordingly.
Can I control what operational information clients can see?
Yes. Each piece of content — booking references, internal notes, vouchers, guide tips — can be toggled between internal-only and client-visible. Clients only ever see what you deliberately choose to share with them.
What happens if I update the itinerary after sharing the link with the client?
The client’s link always shows the latest version of the itinerary. Changes you make in TravelTree are reflected immediately. There is no need to resend the link — the URL stays the same throughout the trip lifecycle.
Can I add audio guides or multimedia content for clients?
Yes. You can attach audio files, video links, or embed media within activity descriptions. This is particularly useful for self-drive tours or cultural experiences where clients benefit from on-location guidance.
Integrations
Can TravelTree connect with my existing CRM?
Yes. The simplest way is to paste the TravelTree itinerary link into your CRM contact record. For deeper integration, Pro plan users can request a custom API integration that syncs contacts, trip data, and booking status between systems.
Does TravelTree integrate with accounting software?
Custom integrations with accounting platforms such as Xero, QuickBooks, or Sage are available for Pro users. Out of the box, you can export invoices and payment records in standard formats.
Is there an API for custom integrations?
Yes. TravelTree offers API access for Pro users. You can connect any third-party tool — booking engines, channel managers, ERP systems, or proprietary databases. The TravelTree team provides guidance and can build custom endpoints on request.
Can I embed trip operations data into my own website?
The public-facing itinerary can be embedded on your website via a simple iframe code. Operational details such as internal booking information and payment records are not exposed publicly — only the client-friendly itinerary content is visible on your site.
Security & Data
Where is my operations data stored?
All data — itineraries, bookings, payment records, supplier details, and client information — is stored on secure servers in Germany. This ensures compliance with GDPR and EU data protection standards.
Is my data used to train AI models?
No. Your data is never used to train public AI models. TravelTree’s AI features run on your content within your account only. Your business data remains completely private at all times.
Who has access to operational data within my company?
Access is controlled by your account administrator. You can assign roles that limit what each team member can view or edit — for example, restricting supplier payment details to management while allowing agents to update booking statuses.
What happens to my data if I cancel my subscription?
Your data is retained for a grace period after cancellation, during which you can export everything. After the grace period, data is securely deleted from the servers. You are never locked in without access to your own records.
